Easyfleet Update 2026.08: The Operations Expansion
Easyfleet is expanding beyond maintenance reminders into a connected operational backbone for drivers, shops, fleet teams, and the assets they manage.
The fleet management map just got a lot bigger.
Over the past several weeks, we have been rebuilding and expanding Easyfleet around a simple goal: give fleet teams one operational backbone for the work that happens between the driver, the shop, the office and the asset.
This is not a cosmetic update. It adds new workflows, deeper controls and a much stronger connection between the people doing the work and the people responsible for keeping the fleet moving.
Here are the patch notes.
New Region Unlocked: Equipment Management
Easyfleet now goes beyond road vehicles with dedicated support for trailers, heavy equipment, small equipment and other fleet assets.
New equipment workflows include:
- Dedicated equipment inventory and classifications
- Custom equipment types and fields
- Hours-based maintenance tracking
- Equipment-specific specifications and service details
- Driver equipment check-in with starting hours and photos
- Preventive maintenance schedules based on equipment type and tracking method
Whether an asset is tracked by kilometres, engine hours, time or a custom interval, it can now live inside the same operational system as the rest of the fleet.
Inventory System Reworked: Smarter Fleet Imports
Fleet uploads can now distinguish vehicles from equipment and direct each asset to the correct inventory.
The improved import workflow supports expanded asset fields, clearer validation and better handling of mixed fleets. That means less cleanup after an upload and a faster path from spreadsheet to working fleet records.
New Questline: Internal Work Orders
Internal shop work now has its own connected workflow.
Fleet managers can create work orders, shop supervisors can assign technicians and estimated completion times, and technicians can document the work as it happens. Parts can be reserved or requested directly from inventory, helping the shop maintain an accurate picture of availability and usage.
The result is a clearer handoff from reported issue to completed repair—with fewer disconnected texts, spreadsheets and paper notes along the way.
Parts Inventory: Major Quality-of-Life Update
The parts system received one of the largest upgrades in this release.
New and expanded capabilities include:
- Detailed part records and usage history
- Visibility into work orders using each part
- Parts invoice upload and line-item capture
- Reorder rules and purchasing approval workflows
- Notifications for low stock and proposed orders
- Audit tools for stale stock and irregular activity
- Duplicate detection with merge and split controls
- More accurate reservation and consumption tracking
This gives fleet and shop teams better control over what is on the shelf, what is already committed and what actually needs to be purchased.
Forms and Documents: Loadout Upgraded
Easyfleet now makes it easier to move information between the office and the field.
Teams can build and distribute forms by driver, asset class, region or role. Completed forms flow back into the platform, while the document library provides a central place for registrations, insurance, policies and other fleet records.
Forms can now have built-in automations to reduce manual input on completed forms.
Documents can be assigned to the correct vehicle, equipment unit, driver or region—so the information is attached to the operation instead of buried in an inbox.
Driver Experience: New Field Actions
Drivers can now do more from the field, including:
- Complete assigned forms and inspections
- Check equipment in with hours and photos
- Submit claim and accident information
- Upload supporting photos and documents
- Report issues directly into connected fleet workflows
These updates are designed to capture better information at the source and reduce the follow-up required from fleet administrators.
Permissions Rebalanced: The Right View for Every Role
Not every employee needs the same dashboard.
Easyfleet now supports more focused experiences for fleet managers, shop supervisors, technicians, accounting staff, support staff and external vendors. Access can be configured by role and region, with control over which modules each person can view or edit.
The goal is simple: less clutter for the user and tighter control for the organization.
Reporting and Accounting: Stats Screen Expanded
Operational and financial reporting has been expanded to provide clearer visibility into:
- Maintenance transactions and spending
- Internal work orders versus external shop purchase orders
- Asset total cost of ownership
- Claims and accident trends
- Parts purchasing and consumption
- Downtime and service activity
- Vehicle and equipment lifecycle performance
Accounting users can access the information relevant to their work without needing full fleet-management permissions, and exports are now better aligned with the report being viewed.
Notifications: Fewer Missed Objectives
More actions can now generate targeted in-platform and email notifications, including work-order updates, parts approvals, low inventory, assigned forms, claims and other operational events.
The aim is to surface the action that needs attention without making users hunt for it.
Under the Hood
Alongside the visible additions, we have continued improving data structure, permissions, import handling and the connections between assets, drivers, technicians, parts, documents and financial records.
Those changes may not always appear in the menu, but they are what allow Easyfleet to operate as a connected system instead of a collection of isolated tools.
What This Update Means
This release moves Easyfleet closer to the platform we set out to build: a Canadian operational backbone for fleets that need more than maintenance reminders, but do not want enterprise complexity forced into every workflow.
There is more ahead. For now, we are excited to put these upgrades into the hands of fleet teams and keep building around the work they actually do.
